At Jess Green Doula, I take your privacy seriously and will always handle your personal information with care and respect.
This privacy notice explains what information I may collect about you, why I collect it, how I use and protect it, and your rights in relation to your personal information.
Who I am
Jess Green Doula is run by me, Jessica Green, a self-employed birth and postnatal doula based in North London.
For the purposes of UK data protection law, I am the data controller for the personal information I collect and use.
If you have any questions about this privacy notice or how I handle your information, you can contact me at:
Email: hello@jessgreendoula.co.uk
Website: www.jessgreendoula.co.uk
What information I collect
The information I collect will depend on whether you are making an initial enquiry or go on to work with me.
It may include:
your name and contact details;
information you provide when contacting me through my website or booking an introductory call;
your due date or your baby's age;
information about your pregnancy, birth plans, previous birth or postnatal experiences;
information about feeding, recovery or other aspects of your health where relevant to the care I provide;
information about your family, support network and what you would like from doula care;
notes made during or following meetings, visits and birth or postnatal care;
relevant correspondence between us by email, WhatsApp, text or other messaging services;
information relating to our agreement and bookings; and
payment and financial information relevant to the services I provide.
I only ask for information that is relevant to my work with you. You are welcome to ask why I need particular information, and I encourage you only to share information that is relevant to the care you are asking me to provide.
How I collect your information
Most of the information I hold will be provided directly by you. This may happen when you:
contact me through my website;
book an introductory call through Calendly;
email, call, text or WhatsApp me;
complete my client intake questionnaire;
enter into an agreement to work with me; or
share information with me during our work together.
Why I use your information
I use your personal information where necessary to:
respond to enquiries;
arrange introductory calls, meetings and appointments;
take steps at your request before we enter into an agreement;
manage and fulfil our agreement if you become a client;
understand what you are looking for from doula care;
provide the birth or postnatal care we have agreed;
communicate with you before, during and after our work together;
manage bookings and payments;
keep appropriate records of the care I have provided;
meet my legal, tax and professional obligations; and
establish, exercise or defend legal claims where necessary.
My lawful basis for using personal information will depend on the circumstances. In most cases, I will process information because it is necessary to take steps at your request before entering into a contract or to perform our contract once we are working together.
In some circumstances, I may process information because I have a legal obligation to do so or because it is necessary for my legitimate interests in running and protecting my business, provided those interests do not override your rights and interests.
I do not use enquiry or client information to add you to a marketing mailing list, and I do not currently operate a newsletter.
Health and other sensitive information
As part of my work as a birth and postnatal doula, you may choose to share information with me about your pregnancy, birth, recovery, feeding or other aspects of your health.
Health information is classed as special category data under UK data protection law and receives additional protection.
Where this information is necessary for me to provide the doula care you have requested, my lawful basis for using it will generally be that it is necessary to take steps at your request before entering into our contract or to perform our contract.
I rely on your explicit consent as my additional condition for processing health information. I will ask for this consent clearly as part of my client intake process.
I will only collect and use health information that is relevant to my work with you and will treat it confidentially.
You may withdraw your consent to my use of your health information at any time by contacting me. Withdrawal of consent does not affect processing that was lawful before your consent was withdrawn, and in some circumstances I may still need to retain particular information where there is another lawful reason for doing so.
Who I may share your information with
I do not sell your personal information.
I use a small number of trusted third-party services to help me run my business. Depending on how you contact or work with me, your information may be processed through services including:
Squarespace, which hosts my website;
Google Workspace, including Gmail, Google Calendar and Google Meet;
Calendly, which I use for introductory call bookings; and
WhatsApp and/or telecommunications providers when we communicate by phone or message.
These providers may process personal information on my behalf or as part of providing their services.
I may also share information where I am legally required to do so, or where it is necessary to establish, exercise or defend a legal claim or to protect someone's vital interests.
Where appropriate, I may suggest or signpost you to another professional or service. I will not routinely share your personal information with that professional simply because I have recommended them.
International processing
Some of the third-party services I use may process or store personal information outside the UK.
Where personal information is transferred internationally, I take reasonable steps to ensure that the provider has appropriate arrangements in place for the protection of personal information in accordance with applicable UK data protection law.
You can contact me if you would like further information about how your personal information is protected when using the third-party services involved in my business.
How I keep your information safe
I take reasonable steps to protect the personal information entrusted to me.
Electronic client records are stored securely on a password-protected personal computer, with access restricted to me. I also take appropriate steps to protect information held within the online services I use.
I may occasionally make handwritten notes while working with you. These will be kept securely while they are needed. Where appropriate, relevant information may be transferred into your main client record, after which temporary handwritten notes will be securely destroyed.
I take particular care with information relating to pregnancy, birth and health because of its sensitive nature.
How long I keep your information
I keep personal information only for as long as it is reasonably necessary for the purpose for which it was collected.
If you make an enquiry but do not go on to work with me, I will generally retain your enquiry and related correspondence for up to 12 months.
If you become a client, I will generally retain appropriate client records for six years after our work together ends, unless there is a legal, professional or insurance-related reason for keeping particular information for a different period. I will consider whether all of the information within a client record still needs to be retained.
Financial and transaction records will be retained for as long as required under applicable tax and accounting rules.
Temporary notes and other information that no longer needs to form part of your client record will be securely deleted or destroyed when it is no longer required.
Your rights
Depending on the circumstances and the lawful basis on which I use your information, you may have the right to:
ask for access to the personal information I hold about you;
ask me to correct information that is inaccurate or incomplete;
ask me to delete your personal information in certain circumstances;
ask me to restrict how your information is used in certain circumstances;
object to certain uses of your personal information;
receive certain information you have provided to me in a portable format where the relevant conditions apply; and
withdraw your consent at any time where I am relying on consent.
These rights do not all apply in every circumstance.
If you would like to exercise any of these rights or have a question about your personal information, please contact me at hello@jessgreendoula.co.uk.
You also have the right to raise a concern about how your personal information has been handled with the Information Commissioner's Office (ICO), the UK's data protection regulator.
Changes to this privacy notice
I may update this privacy notice from time to time, for example if the way I run my business or use personal information changes.
The most recent version will always be available on my website, and the date at the top of this page will show when it was last updated.
